Quick answer
Apply to the embassy of the Schengen country where you will spend the most nights, or where you first enter if nights are equal. Book a VFS Global or BLS International appointment between six months and 15 days before travel, complete that country's online form, pay EUR 90 (about ₹9,200) plus a service charge, give biometrics and expect a decision in about 15 calendar days.
Key takeaways
- The embassy is decided by where you spend the most nights; only a tie sends you to the country of first entry.
- You can apply up to six months ahead and no later than 15 days before departure; for May–June trips, book slots in February or March.
- The fee is EUR 90 (about ₹9,200) per adult and EUR 45 (about ₹4,600) for children aged 6–11, plus a VFS or BLS charge of roughly ₹1,500–3,000.
- Decisions take about 15 calendar days and can stretch to 45, so keep flights refundable until the passport is back.
- Two lawfully used Schengen visas in three years can earn Indians a two-year multiple-entry visa under the EU cascade.
Which Schengen country should you apply to?
One Schengen visa covers 29 countries, but only one embassy decides your file, and picking the wrong one is a common reason for refusal. The rule has two parts:
- Apply to the country where you will spend the most nights.
- If two or more countries tie, apply to the country whose external border you cross first.
A ten-night honeymoon with four nights in Switzerland, three in Paris and three in Amsterdam is a Swiss application, even if you fly into Paris. A family trip with four nights each in Italy and France, landing in Rome, goes to Italy. Business trips follow the main purpose, such as the country hosting the trade fair.
Do not choose an embassy because it has earlier appointments. If you apply to France but spend most of the trip in Italy, the border officer can question you, and the mismatch stays on your record for the next application. Country notes are on our France, Italy, Switzerland and Germany visa pages.
When should you apply?
The window opens six months before your travel date and closes 15 calendar days before departure. Within that window, timing depends on the season:
| Travel month | When to book the appointment |
|---|---|
| May–June (school holidays) | February to early March |
| July–August | March to April |
| September–October | June to July |
| December (Christmas, New Year) | September to October |
| Other months | Six to eight weeks ahead |
Appointment slots, not processing, are the real bottleneck. From April to July, popular centres in Delhi, Mumbai and Bengaluru can be booked out for weeks.
How do you apply, step by step?
- Fix the itinerary. Decide dates, cities and nights per country. Everything else in the file has to match it.
- Fill the online form. Most countries use their own portal (France uses France-Visas, for example) or the visa centre's website. Print and sign it where asked.
- Book the appointment. VFS Global handles most Schengen countries in India; Spain uses BLS International. Book every family member into the same slot.
- Assemble documents. Use our Schengen documents checklist: passport, photos, cover letter, bookings, insurance, bank statements, ITRs and job or business proof.
- Attend the centre. Staff check the file, take fingerprints and a photo, and collect the passport and fees. Fingerprints given in the last 59 months can usually be reused, but bring everyone unless the centre says otherwise.
- Track and collect. The embassy decides; the centre only passes the file on. Collect the passport in person or by courier.
- Check the sticker. Confirm your name, passport number, the from and until dates, the number of entries and the duration of stay in days. Errors are easiest to fix before you fly.
How much does it cost?
| Item | Typical cost per person |
|---|---|
| Visa fee, adult | EUR 90 (about ₹9,200) |
| Visa fee, child aged 6–11 | EUR 45 (about ₹4,600) |
| Visa fee, child under 6 | Free |
| VFS or BLS service charge | Roughly ₹1,500–3,000 |
| Schengen travel insurance, two weeks | Roughly ₹1,000–3,000 for under-60s; more for seniors |
| Courier, SMS updates, lounge | Optional; skip unless useful |
Embassies convert the euro fee to rupees at their own rate, so the counter amount can differ slightly. Fees are not refunded if the visa is refused. Insurance must cover at least EUR 30,000 in every Schengen state; our travel insurance desk sells compliant policies.
How long does it take?
The rules give embassies 15 calendar days, extendable to 45 when they want more documents or checks. Off-season applications from India usually come back in 10–15 days. In peak summer, allow three to four weeks from appointment to passport. If you also need a UK or US visa, remember the embassy holds your passport for that whole period, so sequence the applications.
Don't buy non-refundable flights or pay the full balance on a package until the visa is in your passport. Use refundable fares or an itinerary reservation for the file.
What kind of visa will you get?
First-time applicants usually get a visa covering the trip dates, sometimes with a few days' margin. Under the EU's cascade rule for Indians, introduced in April 2024, applicants who have obtained and lawfully used two Schengen visas in the previous three years can be given a two-year multiple-entry visa, and later a five-year one, if the passport has enough validity left. It is discretionary, not automatic.
What happens at the border?
Since April 2026, the EU's Entry/Exit System registers your fingerprints and face at the first entry and records every crossing digitally instead of stamping the passport. Allow extra time for that first registration. Carry hotel bookings, the return ticket, insurance and proof of funds in your hand baggage, because border officers can ask for them even though the visa is already issued.
What mistakes cause refusals?
Most refusals of Indian applicants trace back to a handful of avoidable problems:
- Wrong embassy. Applying where slots are easier rather than where you spend the most nights.
- Funds that don't add up. A large deposit a week before the appointment, or a balance that barely covers the trip.
- Mismatched dates. The leave letter, bookings and form showing different travel dates.
- Weak insurance. Cover below EUR 30,000, or dates that miss the last day of the trip.
- Hidden history. Not declaring an earlier refusal from any country.
If you are refused, the letter ticks the reasons. Fix those specific points before reapplying, and mention the earlier refusal in the new cover letter.
Book the appointment first, then gather documents. A slot six weeks out gives you time to collect bank statements and a leave letter; a perfect file without a slot gets you nowhere in May.
If you would rather hand the file over, our visa assistance team prepares Schengen applications and cover letters every week.
