Quick answer

A visa cover letter is a one-page letter to the consulate explaining who you are, why and when you are travelling, your route, who pays and why you will return to India. Keep it factual, match every date and figure to your documents, explain anything unusual such as a large deposit, and finish with a list of enclosures. Sign and date it.

Key takeaways

  • One page is enough: who you are, the trip, the money, your ties and a list of enclosures.
  • Every date, amount and name must match the form, bookings and bank statements exactly.
  • Use the letter to explain what documents can't: a large deposit, a career break, a previous refusal or a sponsor.
  • Write plainly in your own words; templates copied word for word are easy to spot.
  • Families can send one letter from the lead applicant naming every traveller, with each person's documents attached.

What is a visa cover letter for?

A visa cover letter is your voice in a file that is otherwise forms, statements and bookings. It tells the officer, in one page, what the trip is and why it makes sense for you. Schengen consulates almost always list it on their checklists. For the UK it is optional but useful, especially when something needs explaining. Canada, Australia and New Zealand accept a similar letter of explanation. The US is the exception, because the interview does that job.

A good letter won't win a visa on its own. A careless one can lose it, when it contradicts a date or a figure elsewhere in the file.

What structure works?

  1. Your details at the top: full name as in the passport, address, phone, email and passport number.
  2. Date and addressee: "The Visa Officer, Embassy of Switzerland, New Delhi", or the consulate that covers your state.
  3. Subject line: the visa type, the travellers and the dates, for example "Short-stay Schengen tourist visa, 12–22 May 2027".
  4. Who you are: your job, employer and years there, or your business, and who is travelling with you.
  5. The trip: cities and nights in each country, entry and exit points, and why this embassy is the right one.
  6. The money: who pays, your income, the balance in your statements, and an explanation of anything unusual.
  7. Your ties: approved leave, family at home, property, children's school, your return date.
  8. Travel history: earlier visas and trips, and any refusal with what has changed.
  9. Enclosures: a short list matching the file order.
  10. Close: a one-line request, thanks, signature and printed name.

What should you include, and what should you leave out?

A sample cover letter

This sample is for a salaried couple applying to the Swiss Embassy. Adapt the facts to your own file; don't copy the wording.

To the Visa Officer, Embassy of Switzerland, New Delhi. 28 January 2027. Subject: Short-stay Schengen tourist visas for Ananya Rao and Karthik Rao, 12 to 22 May 2027.

Dear Sir or Madam, I am applying for short-stay Schengen tourist visas for myself and my husband, Karthik Rao, for a holiday from 12 to 22 May 2027. I have worked as a senior product manager at a software company in Bengaluru since 2019. Karthik has run his own chartered accountancy practice since 2016.

We will spend six nights in Switzerland, in Lucerne, Interlaken and Zermatt, and four nights in Paris, entering at Zurich on 12 May and flying home from Paris on 22 May. Switzerland is our main destination, which is why we are applying to your embassy. Our day-by-day itinerary, hotel bookings and flight reservation are enclosed.

I will pay for the trip, which we estimate at ₹4.5 lakh for both of us. My monthly salary of ₹2.1 lakh is credited to the savings account shown in the enclosed statements, which hold a balance of ₹6.2 lakh. The credit of ₹2 lakh on 15 December 2026 is the maturity of a fixed deposit; the closure advice is enclosed.

My employer has approved my leave from 11 to 23 May, and Karthik's practice will run with his staff while we are away. Our seven-year-old daughter will stay with my parents in Bengaluru, and we own our flat there. We visited Singapore in 2023 and Dubai in 2025 and returned on time both times. Neither of us has been refused a visa.

Enclosed: application forms, passports and old passports, photographs, flight reservation, hotel bookings, itinerary, travel insurance, six months of bank statements, three years of ITRs, my leave letter, Karthik's practice registration and the FD closure advice. Thank you for considering our applications. Yours faithfully, Ananya Rao.

How does the letter change for other travellers?

  • Sponsored students or homemakers: say who pays, the relationship, and that the sponsor's letter and documents are enclosed.
  • Self-employed: describe the business, its registration and turnover in a line, and who runs it while you are away.
  • Retired parents visiting children: mention the pension, property and family in India, and the child's invitation and status abroad.
  • Previous refusal: one factual paragraph: which country, when, the reason given, and the evidence that now answers it. Our guide to UK visa refusal reasons shows how to read a refusal letter.
  • Business trips: the employer's letter on company letterhead carries the weight; your own letter can be shorter.

Formatting tips

  • One A4 page, typed, signed in ink and dated within a week or two of the appointment.
  • Address it to the embassy or consulate that will actually decide the file.
  • Personal letterhead isn't needed for tourism.
  • One letter from the lead applicant can cover a family, as long as it names every traveller.
  • Put it on top of the file, followed by documents in the order of the enclosure list.

Write the cover letter last, after every booking, statement and leave letter is final. Then check each date and figure in the letter against the document it refers to.

For the rest of the file, see the Schengen documents checklist and our guide on showing funds. Our visa assistance team drafts cover letters as part of every Schengen and UK file we prepare.

Frequently asked questions

Is a cover letter mandatory for a visa?
For Schengen visas, almost every consulate in India lists one on its checklist. For the UK it is optional but helpful, especially to explain something unusual. Canada, Australia and New Zealand accept a letter of explanation. The US does not use one, because the interview serves that purpose. When in doubt, include a short one.
How long should a visa cover letter be?
One page. Officers read many files a day, and a page covering who you are, the trip, the money, your ties and the enclosures is enough. Longer letters tend to repeat what the documents already show. Use the space to explain anything unusual, such as a large deposit or a career break.
Who should sign the cover letter for a family application?
The lead applicant, usually the parent or spouse paying for the trip, can write and sign one letter that names every traveller with their passport numbers. Each person still needs their own complete application. If a sponsor is paying, they write a separate sponsorship letter, which goes in alongside.
Should I mention a previous visa refusal in my cover letter?
Yes. Most application forms ask about refusals, and consulates share data. A short, factual paragraph naming the country, date and reason, followed by what has changed and the evidence enclosed, shows you have addressed the problem. Hiding a refusal is far more damaging than the refusal itself.
Can I use a visa cover letter template?
Use a template for structure, not wording. Officers see the same internet templates every day, and identical phrasing across unrelated applicants looks careless at best. Write in your own words, keep sentences short and factual, and make sure every figure matches your documents.
Should the cover letter be on company letterhead?
Not for a tourist trip; a plain signed letter from you is right. For a business visit, your employer issues a letter on company letterhead explaining the purpose and who pays, and that becomes the main document. Your own covering note can then be brief.
